How To Apply Online And Offline for Birth Certificate in Gujarat

How to Apply Online

If the birth took place in a hospital, the medical officer typically registers the birth directly on the Civil Registration System (CRS) portal. However, citizens can also initiate an application or download the certificate online.

  1. Visit the Official Portal: Go to the national Civil Registration System (CRS) portal at crsorgi.gov.in or the Gujarat state portal at crs.guj.nic.in (e-Olakh portal is also used for digital downloads and corrections). Some major cities like Surat or Ahmedabad have their own municipal corporation websites for this service.

  1. Register/Log In: Click on "General Public Signup" to create an account using your mobile number and email ID, then log in.
  2. Fill the Application: Navigate to "Birth Registration" or "Apply for Birth Certificate". Fill in the necessary details, including the child's name, date of birth, place of birth, parents' names, and address.
  3. Upload Documents: Upload scanned copies (PDF or JPG format, usually under 200 KB) of the required supporting documents.

  1. Submit and Track: Submit the application to generate a Reference Number. Once the local registrar verifies and approves the application, you can log back in to download the digitally signed PDF of the birth certificate.

How to Apply Offline

For home births or if you prefer submitting physical documents, you can apply offline at your local government office.

  1. Visit the Local Authority: Go to your respective Gram Panchayat (for villages), Nagar Palika / Municipality (for towns), or Municipal Corporation / Ward Office (for major cities). You can also visit a local CSC (Common Service Center) or e-Gram center.

  1. Obtain the Form: Request the prescribed Birth Registration Application Form from the Registrar of Births and Deaths.

  1. Attach Documents: Fill out the form completely and attach self-attested photocopies of all required documents.

  1. Submit and Pay Fees: Submit the form and documents to the registrar. Pay the nominal registration fee (if applicable) and collect your acknowledgment slip.

  1. Collect Certificate: The certificate is usually issued within 7 to 15 working days. You will need the acknowledgment slip to collect it.

Required Documents

Ensure you have the following documents ready before applying:

  • Hospital Birth: Hospital discharge summary or birth slip provided by the medical officer.
  • Home Birth: A letter from the head of the village/informant or an affidavit proving the place and date of birth.
  • Identity Proof: Aadhaar cards or Voter IDs of both parents.
  • Address Proof: Ration card, electricity bill, or passport.
  • Marriage Certificate: Parents' marriage certificate (optional but recommended).

Late Registration Fees

If you miss the initial 21-day window, you can still register the birth by paying a late fee:

  • Within 21 days: No late fee.
  • 21 to 30 days: Late fee of ₹100.

  • 30 days to 1 year: Late fee of ₹200 (requires an affidavit and written permission from the prescribed authority).
  • After 1 year: Late fee of ₹500 (requires an order from a first-class Magistrate or Executive Magistrate).
